Concussion Alert Inc. (“we”, “our”, or “us”) respects your privacy and is committed to protecting the personal information you share with us through the Concussion Alert mobile application and platform (collectively, the “App”). This Privacy Policy explains how we collect, use, store, and protect your information.

By using our App, you consent to the practices described in this Privacy Policy.

1. Information We Collect

We may collect the following types of information from users:

  • Personally Identifiable Information (PII):
    • Full Name
    • Email Address
    • Phone Number
    • Date of Birth
    • Gender
  • Health and Injury Data:
    • Concussion and injury reports submitted through the Concussion Alert platform
  • Technical and Usage Data:
    • Device type, operating system, and IP address
    • App usage data (e.g., screens visited, interactions)
    • Crash logs and performance metrics

2. How We Collect Information

We collect personal and usage data in the following ways:

  • When users create an account or register within the App
  • When users fill out injury or incident reports
  • Automatically through device interactions and analytics tools

3. Parental Consent & Children’s Privacy

Concussion Alert is used by schools, sports leagues, and guardians. If a user is under the age of 18, we require parental or guardian consent before any personal or injury data is submitted.

We do not knowingly collect personal information from children without verified consent. If we learn that personal information has been collected from a minor without appropriate authorization, we will delete that information promptly.

4. How We Use Your Information

We use your information to:

  • Enable access to App features (e.g., injury tracking, notifications, scheduling)
  • Maintain a record of concussion-related incidents
  • Improve app performance and user experience
  • Send relevant push notifications (e.g., injury updates, check-ins)

We do not use your information for third-party advertising or sell your data to external parties.

4A. Use of De-Identified Data for Research

We may use aggregated or de-identified data for research, analysis, quality improvement, and educational purposes. All such data will be stripped of personally identifiable information in accordance with established research ethics and privacy standards.

De-identified data may be used to:

  • Support concussion-related research 
  • Improve public health insights and injury prevention strategies
  • Develop or validate clinical tools, protocols, and technologies

This data may be shared with qualified research partners or academic institutions only after ensuring that individual users cannot be reasonably identified. We do not share identifiable personal health information for research without your explicit consent or as otherwise permitted by law.

5. Third-Party Services

We may use the following trusted third-party providers to operate and improve the App:

  • OneSignal – for push notifications
  • Microsoft Bookings – for scheduling appointments
  • Google Analytics – for usage tracking and performance analysis

Your information may be processed according to their respective Privacy Policies and Terms of Service. We do not share your personal information with third parties outside of what is necessary to operate these services.

6. Data Storage and Retention

  • Your data is stored securely on Canadian-based cloud servers.
  • For minors, concussion-related data is retained for 10 years after the user turns 18 to ensure compliance and support ongoing health monitoring.
  • Users may request account deletion and permanent data removal at any time (see Section 8).

7. Data Security

We implement industry-standard security measures to protect your information, including encryption, secure data centers, and restricted access protocols. However, no system is completely secure, and we cannot guarantee the absolute protection of your information.

8. Your Rights

You have the right to:

  • Access your personal information
  • Correct or update your information
  • Request deletion of your account and data
  • Withdraw consent (where applicable)

9. Cross-Border Data Transfers

Although we primarily operate in Canada, your data may be processed in other jurisdictions where privacy laws may differ. By using the App, you consent to the transfer and processing of your data outside your home country, including potential future operations in the United States.

We strive to comply with applicable laws, including PIPEDA (Canada) and will align with HIPAA (U.S.) where required.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect legal, technical, or operational changes. We will notify users of significant changes where required. Continued use of the App after updates constitutes your acceptance of the new terms.
